- Expo Overview New concept:
The international folk culture tourism products Expo of GuiZhou, China,2016 is a pageant which is held by GuiZhou’s government for people to exhibit and trade their folk arts and crafts. Many artists, craftsmen and exhibitors from all over the world will come to GuiZhou to display and sale their works every year.
This Expo has been widely acknowledged and concerned by all sectors of society, especially consumers’ favor.
The history of GuiZhou Folk Expo can date back to 2006. The heyday of GuiZou’s handicraft-two competitions and one meeting has not only boomed the crafts market but also provided a good opportunity for craftsmen to recommend and sale their works and thus to improve their social position.
After ten years’ continuous development, updating and improvement, this Expo now has become one of the iconic activities of China local culture.
In order to enlarge their influence, introduce more international crafts to GuiZhou and provide more opportunities for artists to communicate and cooperate, the government of GuiZhou province has formally delegated Emma Chen Hoefler, vice president of IOV, to invite more than 200 craftsmen from more than 50 countries to take part in the fair and it has proved to be a great success. Meanwhile participants have also taken active part in the Global Declaration on Handicraft Protection which is advocated by Chen.
In 2016, the location of the GuiZhou international folk art exhibition is “standing on Guian to see the world”: letting all the craftsmen, artists and exhibitors around the world to know the culture and art of Guizhou and the world through the fair, know the social and natural surrounding of Guizhou and make culture as a bridge to connect worldwide people.
New needs and fast-growing Market:
In 2005, the tourists during the fair reached 300 thousand and the trading volume has passed the previous one greatly. It has also gained a lot of wide and positive favorable comments. This year, we still hope to protect, inherit and spread international and traditional crafts skills and have a better cultural exchange and cooperation through holding the fair. Let consumers know the value of traditional handicraft and connect art and market better through this trade platform, improving and flourishing the innovation and development of folk art.
The Folk Expo of this year is hosted by the government of GuiZhou province and propaganda; co-hosted by Economy, Trade and Information Commission of GuiZhou province and The New Area between Guiyang and Anshun. We hope that we can outnumber the previous one not only in scale, the number of people, craftsmen but also the number of exhibitors, quantity of goods and the quality of exhibition. We plan to invite craftsmen and exhibitors from about 50 countries to Guizhou, to display and sale their products, achieve a great market dealing and let traditional arts to show their presence and value in contemporary world.

- Exhibition Regulations General rules:
The exhibition regulations of international folk cultural Expo of tourism products, GuiZhou, China are drawn up and carried out by Beijing Folk Art and Culture Development Center ; it also has the power to revise and explain these details.
All of the terms that the international folk cultural Expo of tourism products has required have been prescribed in the exhibition details, and all appliers and the final craftsmen and exhibitors should obey and perform the details unconditionally. And the cultural and communication center of folk art inheritance has the right to establish other rules and regulations.
Exhibition Qualification and Product categories:
Exhibition qualification: Folk craftsmen in various countries, the derivative brands of folk art, folk art agents, creative design companies, professional exhibitors of folk art, creative and research institutions of folk crafts, museums, art colleges, art foundations and folk art research centers, etc.
Products categories: folk crafts, derivatives, art gifts, craft decoration, innovative products, text and creative products, daily necessities, textile products, clothes products, home decorations and small furniture, etc.
Liquor, beverage and food are not allowed to exhibit.
Regulations:
- Qualification Confirmation:
- Application: exhibitors must submit the exhibition application form and the declaration form of exhibition products details in the appendix. It will be valid when the application is fill in with the seals of responsible person and the seals of exhibitors companies. The deadline is August 5th, 2016.
(2)Auditing: all the application forms have to pass the unified authentication. Please keep in touch with us in time. The cultural and communication center of folk art inheritance has the right of final interpretation.
(3)Confirmation: Beijing Folk Art and Culture Development Center will send e-mails/ fax of exhibition confirmation letter to ensure the exhibition qualification. Both sides must make an agreement and pay a trust deposit. After that you are deemed as to exhibit the fair and will arrange the exhibition area firstly. Exhibitors need to provide the detailed information of any exhibits.
(4) we will send an official invitation letter to you to apply for visa and arrange specialists to provide specific service for craftsmen..
- Quantity and Quality Warrant:
According to the data of the previous one, there will be 50-60 thousand people to visit and shopping. Every craftsmen and exhibitors must have more than 150 items (the specific number should see to the agreement) and must ensure adequate to exhibit. Meanwhile, the quality must accord with the international trade standards and no fake commodities are allowed.

The participants should make a deposit:
This fair is a national level exhibition of Guizhou government and it’s also a professional exhibition famous in the world. in order to ensure the high tone, high quality and high level of this exhibition and make sure no one will withdraw with no reason and no one will be late, every craftsmen who take part in the exhibition need to pay 3,000 yuan (500 dollars) and sign an agreement with Beijing Folk Art and Culture Development Center. If exhibitors can obey the exhibition terms and the cooperative agreement, Beijing Folk Art and Culture Development Center will return the deposit according to the agreement after the closing ceremony.
- craftsmen who take part in the exhibition need to attend the fair on time. Exhibitors who are absent from the fair with no reason and late, we won’t return the deposit.
- Exhibitors who join the fair need to ensure that the property, category, quantity and quality of the exhibits is the same with the agreement and the realness and correctness of the applying information. If appliers who provide false information and forgery or don’t obey the rule and regulations, we will cancel the already accepted application. Under this condition, we will not return the deposit.
- craftsmen and exhibitors from various countries shall not violate the laws and regulations of the People’s Republic of China. Any speech, words, pictures, actions and propaganda which violate the image of China will be banned. If someone violates it, the organizing committee will withdraw his exhibition qualification immediately and with no deposit returned and he also has to bear the corresponding legal responsibility.
If exhibitors couldn’t meet the above conditions and the agreement terms, we will deduct the deposit as penalty and the compensation of constructing the exhibiting areas.
The penalty for dealer participants:
This fair is a national level exhibition of Guizhou government and it’s also a professional exhibition famous in the world. in order to ensure the high tone, high quality and high level of this exhibition and make sure no one will withdraw with no reason and no one will be late, every craftsman who take part in the exhibition should sign an agreement with Beijing Folk Art and Culture Development Center to make sure to guarantee the following exhibition conditions and obey the agreement.

- The Organizing Committee provides:
- The organizing committee will provide formal official invitation letter for visa application.
- The organizing committee will provide a standard booth for the participants.
Special equipment booth will need to provide the drawings and equipment costs.
Standard booth: 9 square meters (3 meters * 3 meters).
Include: 3 panels, 2 low temperature lamps, 1 piece of carpet, 1 information desk, 1 showcase or show frame, 2 chairs, 1 5A/220V socket, 1 3-head patch board, 1 garbage basket, and 1 exhibitor pass.
- The Organizing Committee and the local government will waive the tax of goods after the sale, incomes are owned by participants. (field sales are denominated in RMB, the organizing committee does not provide currency exchange business)
- The organizing committee will provide each participant with a local hotel accommodation in the period from the night of September 26th, 2016 to twelve am of October 2nd. The arrangement day is on 27th September; the opening ceremony day is on 28th September and from 29th September to 2nd October is the sales exhibition time.
- The organizing committee will provide three meals during the exhibition (from September 27, 2016 to12 am of October 2). If you are vegetarian or Muslim, please note the name in application form.
- The organizing committee will provide the airport shuttle service for each participant. After the airline ticket is booked, please inform the flight, arrival and departure time of Guizhou as soon as possible.
- The organizing committee will provide volunteer service for each booth.
- Participants’ responsibilities:
- Craftsmen and exhibitors need to apply for visas to the Chinese territory and pay the visa fee.
- Exhibitors and craftsmen who join the exhibition need to apply for the visa yourselves and afford the fees of airplane tickets leaving for and leaving Guiyang Longdongbao airport.
- Craftsmen and exhibitors need to bear the logistics cost of the goods.
- Craftsmen and exhibitors need to buy their own medical insurance, and sent the insurance copies to the organizing committee before arriving in China.
- Craftsmen and exhibitors are required to bring the necessary materials of their own booth (such as decorations, tablecloths, thumbtack, clips, hangers, etc.), and the necessary tools and utensils for live demonstration (such as knife, sewing, paper, etc.). If you need a special tool, please inform us before reaching Guiyang.
- Please provide participants’ photos, one piece of identification standard photo of two inches, and two pieces of work photos. Photos must be clear and consistent with the quality of printing and the pixel should be not less than 1600*1200.
- Craftsmen and exhibitors need to sign a participating agreement with Beijing Folk Art and Culture Development Center, who is in charge of the international invitation, and pay the deposit. (Agreement is attached)
- Craftsmen and exhibitors need to fill the application form and customs declaration in detail. All information must be true and valid.
- Craftsmen participants and dealer participants should be well noticed:
- All overseas exhibits are required to go through customs formalities in advance.
We provide contact information of the custom brokers.
- All overseas publicity material (books, audio and video, etc.) must be reported to examine in advance.
- All items that are brought in or taken out of the fair shall be inspected by the entrance guard, all exhibits can only be brought in in the exhibition period.
- The booths are provided freely by the organizing committee, which are strictly prohibited to transfer and sublet, all booths are guarded by special person during the exhibition.
- Do not damage the booth, if you need to play music, the scene volume should be less than 75 DB, and obey the organization and coordination of the fair.
- Judgment standard of booth transfer and prohibitions:
- Sign contract on behalf of the non-participating units.
- Distribute the business card of non-participating units in the booth.
- Transfer, resale, subcontract, sublet the booth in any way.
- If the staff of exhibitors illegally transfer or sublet (sell) the booth, it shall be deemed that the exhibitors illegally transfer or sublet (sell) the booth.
- Penalties for booth transfer and prohibitions:
- Close the illegal booths as of this date, remove all exhibits from the exhibition hall.
- Confiscate the admission certificate of exhibitors.
- Cancel the exhibition qualification of exhibitors who has from when the first three consecutive illegally transferred or sublet (sell) booth for three consecutive sessions, and credit to the illegal list. If an exhibitor illegally transfers or sublets (buys) booth in two or more exhibition zones, its exhibition qualification shall be cancelled for five consecutive sessions from this session.
- Punishment results are announced to the public, and reported on the official website of the fair.
- Exhibitors who initiatively report or investigate their own illegal of transferring or subletting (sell) booth will not be criticized and deducted the number of booths.
- Management provisions for exhibits and promotional materials
- All items that are brought in or taken out of the fair shall be inspected by the security personnel. Set up and dismantle the exhibition and during the, exhibitors shall be assigned special person to guard the booth, to ensure the safety of the exhibits.
- The various information of exhibitor is limited to distribute in the booth, shouldn’t distribute in other booths or channels, nor can place the sales literature and publicity material on channel.
- The contents of various distributed information and text must comply with the relevant provisions of the country, exhibitors are completely responsible for the authenticity and legitimacy of all kinds of information.
- Shall not distribute publicity materials and products in place of others, the distributors shall undertake the association legal liability for all disputes.
- All craftsmen and exhibitors shall not violate the relevant laws and regulations of the People’s Republic of China, shall not have any speech, marks, pictures, behaviors, and campaigns that contrary to the image of China. If there is breach, the organizing committee will immediately revoke the participation qualification and deposits will not be returned, the violators shall bear the corresponding legal responsibility.
- Customs clearance of foreign exhibits
- The exhibition hall shall in the area under customs jurisdiction, and all overseas exhibits shall be declared to the customs.
- All overseas exhibits are exempt from tax during the exhibition period, any goods cannot be taken out of the exhibition hall without the approval of the customs.
- Exhibitors need to contact the carrier to help handle the customs formalities.

Payment and related issues
- Once the application is accepted, Beijing Folk Art and Culture Development Center will sent the Exhibitors Confirmation Letter to craftsmen and exhibitors via email or fax. The craftsmen and exhibitors shall pay the deposit within 3 working days after receiving the Exhibitors Confirmation Letter. The payment date is consistent with the check or by bank. If the craftsmen and exhibitors are fail to pay all the deposit in time after receiving the Exhibitors Confirmation Letter, the fair has the right to terminate the participation agreement and reassign the booth to other exhibitors. After the Beijing Folk Art and Culture Development Center receiving the deposit, they will promptly notify the payer and provide the proof of receipt. If the craftsmen and exhibitors are unable to participate and set up the exhibition in designated exhibition day, they will lose the usage right of the booth, Beijing Folk Art and Culture Development Center has the right to terminate the contract. In this case, the deposit of craftsmen and exhibitors shall not be refunded.

- Details in exhibition hall
- Move-in, move-out the exhibition Move-out exhibition time: 16:00-18:30 in October 2, each exhibitor shall not move-in or move-out the exhibition in advance.

- Arrangement of the booth The lamp and socket in the booth are not allowed to change or add.
- Booth space will be uniformly arranged by the fair Organizing Committee.
- Booth design application form fill in the Booth Design Application Form after the permission of Beijing Folk Art and Culture Development Center, at the same time pay the deposit and hand in the agreement, then, you can transform the booth. Organizing committee has the final decision right of the booth.

- Usage of booth
- It is not permit to transfer, resale, subcontract, sublet or share the booth in any form.
- Booth reservation
- Allocation principle of booth order: “application first, pay a deposit first, and arrange first”. Craftsmen who have received the acknowledgment notice need to telegraph the full deposit to Beijing folk art inheritance and cultural communication center in three days. People who doesn’t pay the money in the time limit will be regarded as giving up the chances. The exhibition dealers need to sign an agreement with Beijing folk art inheritance and cultural communication center in three days, which will be regarded as a certain joining and then our staff will arrange the exhibition areas for you. If anyone withdraw from the fair with no reason has to pay 10,000 as penalty.
- Campaign
- The fair will convey the information of Expo through a variety of media, and introduce the exhibition to professional media and mass media, recommend the important exhibitors.
- Security
- There are professional guards to provide services for 24 hours for the exhibition in exhibition areas. Exhibitors shall responsible for exhibits security in the exhibition period; closed by the designated professional security personnel custody. In order to maintain the security, any items cannot be moved from the exhibition areas during the exhibition, unless with exit proof. All craftsmen and exhibitors must comply with the regulations on fire and security. If the craftsmen and exhibitors are fail to comply with regulations due to their own negligence or breach of the rules, they must give a compensation for all or part of the loss or damage to the fair or a third party.
- Insurance
- Craftsmen and exhibitors should deal with security insurance for the exhibits and the damage may occur in exhibition and personal safety. During the fair, the craftsmen and exhibitors will take all the risks of exhibition. Beijing Folk Art and Culture Development Center is not liable to the direct, unexpected or subsequent damage or loss of craftsmen and exhibitors in personal or products respect, including any loss or damage caused by lighting or air-conditioning failure or suspend.
- Legal effect
- Intellectual property
- Craftsmen and exhibitors must ensure that the exhibits, as well as all graphic and text information that are submit to Beijing Folk Art and Culture Development Center does not constitute a violation of the intellectual property of third party. If there are any infringements of copyright or other intellectual property because of craftsmen and exhibitors’ negligence or fault, and thereby causes any damage and loss to Beijing Folk Art and Culture Development Center, craftsmen and exhibitors shall be responsible for compensation and bear all the responsibility.
- Force majeure
- If there are any non-human factors or other unexpected events that beyond control of Beijing Folk Art and Culture Development Center, including (but not limited to) earthquake, fire, flood, unrest, war, strikes, epidemic, economic or political unrest, the organizing committee has the right to cancel, postpone, or shorten the fairsition. In this case, any payments made by the craftsmen and exhibitors will not be refunded, and they shall not be able to make claims on Beijing Folk Art and Culture Development Center.
- This is the complete and final agreement between craftsmen and exhibitors of China (Guizhou) International Folk Cultural Tourism Products Expo in 2016, all legal issues in the implementation of the rules shall be governed by the laws of the People’s Republic of China.
